How to get paid sooner in road transport:
send the complete trip file on the day of unloading.
The payment term for a trip usually starts only when the client has the complete set of documents: the invoice, the signed CMR and, where required, the POD or other papers. The fastest way to the money is to check the trip file and send it on the day the truck unloads, not at the end of the week or month.
Citește în română →Where the delay comes from
The driver takes a photo of the CMR and sends it on WhatsApp. The POD arrives by email from the consignee, sometimes two days later. The transport order sits in another folder, and the German client also wants a Lieferschein and a Palettenschein. The invoice goes out when someone in the office has gathered everything, and if one stamp is missing, the file waits.
A trans.info article from January 2026 notes that the payment term is counted from the moment the complete document set is delivered, and that incomplete paperwork is the most common reason payments arrive late. In the Atradius barometer from July 2026, about 83% of Romanian companies reported overdue invoices.
What a few days cost
A company that invoices €150,000 a month and sends its trip files, on average, 9 days after unloading always has about €45,000 tied up in trips already driven. Every day saved on sending brings the money a day earlier, with no negotiation with the client.
One question is worth asking today: how many days pass between unloading and the moment your client receives the complete file? Your dispatcher can answer in a few minutes by looking at the last ten trips.
What can change
Two changes most companies don’t make yet:
- The file is checked on the day of unloading, trip by trip, against each client’s list of required documents. It goes out as soon as the list is complete, not when several have piled up.
- Every morning, a short list of open trips: which document is missing, from whom and for how many days. The driver or consignee gets a call the same day, not after the client says it won’t pay.
The hard part isn’t the decision but the small manual work between steps: finding the photo in WhatsApp, matching it to the order, renaming files, filling in the invoice. That is exactly what AI agents can take over today, working in the email, folders and invoicing program you already use, without a big IT project.
| Step | Who does it today | What an AI agent can take over | What stays with people |
|---|---|---|---|
| Collecting the CMR, POD and other papers | The office, from WhatsApp and email | Finds the trip’s documents, renames them and files them | — |
| Checking the file | Someone, at month-end | Compares the file with the client’s list and flags what’s missing | Deciding whether a document is acceptable |
| The invoice | Accounting | Prepares the draft invoice from the order | Approving the invoice |
| Sending to the client | The office | Prepares the email with the complete file | Pressing “send” |
| Chasing missing papers | The dispatcher, when there’s time | The morning list of what’s missing and from whom | The call to the driver or client |
Frequently asked questions
Does it work with e-CMR?
Yes. If the CMR arrives electronically, the agent picks it up from the platform or from email, just like a PDF.
Do we need a new invoicing program?
No. The agent works in the programs you already use and prepares drafts that a person approves.
What if a document is unclear or wrong?
The agent doesn’t decide. It puts the trip on the morning list with what it found, and the dispatcher decides.
Does this apply to freight forwarders?
Yes. There, the file also includes the subcontracted carrier’s documents, and the morning list shows what is missing from them too.
How many days pass between unloading and a complete file?
KYA Audit sets up AI agents that prepare the trip file in the company’s own programs, and people approve every invoice and every send.
