Faster steps.
Same slow job.
Most teams already use AI, one question at a time in a chat window. The job itself still travels by hand between email, WhatsApp, Excel and your accounting or ERP program. That is where the days go.
Citește în română →AI is in the office. It is not in the process.
In most Romanian companies, AI arrived through the people, not through a project. Someone asks a chat assistant to summarise a contract, translate an email, draft a reply or turn a PDF into a table. Then they copy the answer back into the email, the spreadsheet or the accounting program, and carry on by hand.
Put together: each step done in the chat window gets faster, but the job still waits for the next download, the next copy-paste, the next document someone has to send.
Where the time really goes
Take a job that comes back every month in an accounting firm: getting a client’s documents together before the declarations are due.
- supplier invoices are downloaded from SPV, one by one or in batches;
- the bank statement is requested by email, and arrives a few days later;
- receipts come as photos on WhatsApp;
- someone saves them in a folder, renames them, types amounts into Excel to see what is missing, and writes to the client;
- only then is the data entered into the accounting program.
AI can already read a photo of a receipt in seconds. But if a person still downloads, uploads, copies and re-types around it, the month-end takes as long as before. The bottleneck is not any single step. It is the gaps between the steps.
So the answer is not a smarter chat window. It is an assistant that carries the job across the programs you already use, while the people who are responsible today stay responsible. Two principles keep that safe.
Humans approve intent.
People set the goal and validate the assistant’s summary of what was done, instead of doing or supervising every step by hand.
Confidence comes from evidence.
Every handover shows its sources, what was checked and what still needs a human decision. That builds trust, not redoing the work.
What this looks like in practice
The accountant states the goal once: “Prepare client X’s October documents: everything from SPV, the bank statement and the receipts. Tell me what is missing.” The assistant works with the accounts and access the firm already uses, collects, files and matches, and hands back one page:
- what was collected, and from where;
- what matches the bank statement;
- what is missing, with a drafted reminder for the client;
- anything unusual: an amount that does not match, a duplicate, an invoice from a new supplier.
The accountant reads the page, sends the reminder if it is right, and books the month as today. The signature and the responsibility do not move. What disappears is the carrying.
What changes, and what does not
Before anything runs, we write down the line between the assistant and the people, for each job:
Nothing that is approved by a person today becomes automatic. The time saved comes from less chasing, downloading and re-typing.
The same pattern in other trades
- Transport. The trip file: the driver sends CMR and delivery photos on WhatsApp, and many clients start the payment term only when the full set arrives. The assistant gathers the documents per trip, checks the set against that client’s list, and prepares the invoice and the email. The dispatcher or the accountant sends it.
- Distribution. Orders arrive as emails, messages and photos of handwritten lists. The assistant turns each one into a draft order with your product codes and marks the lines it is not sure about. A person confirms.
- Insurance brokers. Renewals: 30 days before expiry, the assistant prepares the client’s file and a side-by-side table of the quotes. The broker gives the advice.
Illustrative examples, not client cases.
How to start
- Pick one job that repeats every week or month and crosses at least three programs.
- Measure it for two weeks: time from the first document to done, how many programs it touches, how often someone copies and pastes.
- Write the goal and the limits on one page: what the assistant may do alone, and what it must hand to a person.
- Run it next to the current way for a month. A person validates every summary.
- Compare the numbers and decide together: keep it, change it or stop.
